Executive Assistant

NAMSA is a global medical device research organization providing a comprehensive range of services to prove efficacy, non-clinical and clinical safety of medical devices, IVDs, HCT/P and combination products. NAMSA has breadth and depth in consulting, non-clinical and clinical services with expertise in cardiovascular, orthopedic, ocular, neurologic, gastroenterologic, urologic, combination product and related medical devices. For more than 50 years, NAMSA clients utilize its testing and consulting services to bring safe and effective products to market.
Principal Duties and Responsibilities
Responsible for administrative duties in support of an assigned executive or senior leader.
Organizes and prepares documents for executives, leadership, clients, and team meetings.
Coordinates meetings and events for executives, leadership team members, board committees, and/or shareholders, as applicable, and assists with minutes for the meetings.
Assists with managing the travel and expenses of executives, leaders and their teams. Evaluates the travel expenses of the leader's teams as requested.
Manages executive and other leader's calendars and communications to ensure coordination between them and their customers.
Assists in coordinating activities and maintaining financial and other business records which may include the company's charitable giving programs. Manages the requisition and alignment of expenses to the appropriate budgets.
May serve as the administrator of company credit cards.
Provides project management coordination.
Other duties as assigned.
Qualifications and Skills
High School diploma required with Associates Degree or Administration certification highly preferred
4 years related experience required; executive assistant background preferred.
Fluency in English is preferred.
Technical Competencies
Knowledge of Microsoft Office programs and functions, with particular proficiency in Word, Excel, SharePoint and PowerPoint
Ability to handle confidential information
Ability to carry out detailed event planning

Don't Be Fooled

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
